CAREER OPPORTUNITY 

OFFICE COORDINATOR

DUTIES, RESPONSIBILITIES & EXPECTATIONS

  1. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.

  2. Answer telephones, direct calls, and take messages.

  3. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

  4. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.

  5. Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.

  6. Compile, copy, sort, and file records of office activities, business transactions, and other activities.

  7. Complete work schedules, manage calendars, and arrange appointments.

  8. Review files, records, and other documents to obtain information to respond to requests.

  9. Deliver messages and run errands.

  10. Train, and support other staff members, including but not limited to receptionists.

  11. Inventory and order materials, supplies, and services.

  12. Troubleshoot problems involving office equipment, such as printers, fax machine, etc.

  13. Collect, count, and disburse money, do basic bookkeeping, and complete banking transactions.

  14. Review all existing MITEL telephone documentation.

    • Troubleshoot and correct any issues that arise​

    • If unresolvable, contact Frontier/Mitel for resolution

  15. Schedule meeting conferencing (Go To meeting, etc.) between MIW staff and client.

  16. Monitor IT needs and determine the level of urgency.

    • Unurgent – Maintain an open issues list and coordinate with subcontractor for resolution​

    • Urgent – Review issue with Sales/Marketing Manager to determine if emergency, contact Common Angle if necessary

  17. Ensure company's policies and security requirements are met.

    • Standard working hours are from 7:00 a.m. to 3:00 p.m. may vary at times in relation to work load.

    • Arrives to work 10-15 minutes prior to the start of scheduled shift.

    • Punctual when attending meetings.

GOAL

To be the front line support, responsible for outstanding customer/associate service, providing nothing less than professional interaction and organization.

QUALIFICATIONS:

  • 2 years of experience

  • High School Diploma/G.E.D.
